The internet creates the illusion that you can arrange treatment abroad on your own: find a clinic, send an email, and receive a reply. In reality, patients run into problems they never suspected. The clinic doesn’t respond to an email in Russian—the international department is overwhelmed. A reply arrives, but the preliminary estimate is unclear—what’s included, what isn’t, and how to interpret the DRG codes. The surgeon you found in the rankings doesn’t specialize in your specific diagnosis. The visa processing times don’t align with the surgery date. A coordinator is not a “travel agent for patients.” They are a specialist who knows the ins and outs of German clinics: which professor is best at treating your specific type of cancer, which clinic has the shortest waitlist for the procedure you need, and how to properly prepare your documents so the clinic can admit you more quickly. The coordinator speaks both your language and the clinic’s language—both literally and in medical terms.
A coordinator’s services cost money—but they often pay for themselves. Choosing the right clinic can save you 20–30% on treatment costs (the difference between a university clinic and a municipal hospital, assuming the surgeon’s skill level is the same). A coordinator knows which tests can be done at home (to avoid overpaying in Germany), which additional procedures are included in the DRG rate, and which ones will have to be paid for separately. A lack of coordination often leads to extra days at a hotel, repeat visits, and unexpected expenses.
Transparency — The coordinator must clearly explain what their fee consists of and what services are included. Specialization — A company that “arranges treatment in 50 countries around the world” likely does not know the German system as well as a specialist focused on a single country. Presence in Germany — An on-site coordinator can resolve an issue within an hour, while a coordinator from another country might take a day. Reviews and recommendations — Ask for contact information for patients who have already received treatment through this company.
